Include operational busy periods in the plan. Payroll, month end, seasonal demand or a scheduled customer communication can make an otherwise convenient release window unsuitable. Identify who can approve a change and who will verify the business workflow afterwards. A technically successful deployment still needs confirmation from the people relying on it.

Make existing business systems part of discovery

Xero, MYOB, Microsoft 365, a CRM or an industry platform may already hold records that a new application needs. Confirm the actual products, account arrangements and available integration methods rather than assuming every edition supports the same capability. Use a representative transaction to test the intended connection.

Decide which system owns customer details, invoice status and other shared information. Then agree how exceptions will be handled when a provider is unavailable or a record is rejected. The person resolving those exceptions needs enough context and appropriate access. Moving work into an integration queue should reduce manual effort, not make it harder to find.

Describe data requirements precisely

This is particularly useful when the business relies on a small internal IT team or several external providers. Everyone should understand where to begin when a system needs a change or an incident interrupts normal work.
